Terms & Conditions


  1. Payment - Confirmation of your booking will be sent once payment has been received. Please check the dates and location. Responsibility lies with the person who made the initial booking. Let us know as soon as possible if we have not confirmed what you thought you had booked and we will do our best to make the changes you require. If you don't advise us in good time and we can't accommodate the change, our cancellation fees will apply.
  2. Changes to your Booking - We can change your dates providing we have spaces and you request your change in writing at least 24 hours before your child starts camp. If there is a difference in price you will need to cover this cost. If you have booked a full week you cannot move individual days to another week unless you pay the appropriate rate. If we are unable to offer you alternative dates cancellation charges will apply.
  3. Cancellations - Any cancellations must be notified in writing and are subject to the following charges. If received up to 24 hours prior to the start of booking a full credit will be held by Club Excel for future courses. No credit will be given after 24 hours. Credits will expire after 12 months from the date of cancellation. We do not offer refunds for any cancellations. Missed days cannot be credited or refunded. Credits can only be used to book future Club Excel courses and are not transferrable to Excel Sport or Excel Swim. We cannot offer any credits or refunds for cancellations on the morning of your booking. This is because we will have staffed the sessions in accordance with our staff:child ratio's.
  4. Photographic/Video Footage - We may take photographs and video footage at camp to use for our website, brochure or promotional material. If you wish to exclude your child we must be informed in writing before camp. All data collated is kept securely.
  5. Voucher Codes - These can be claimed using the code supplied at checkout and will be applied after any other discount. Only one voucher code can be used per booking. We reserve the right to terminate offers at any time.
  6. Childcare Vouchers & Tax free Childcare - As an Ofsted registered provider we are very happy to accept Childcare Vouchers and Tax Free Childcare as payment for any of our camp programmes. Once bookings have been provisionally made we allow 7 working days to process your childcare vouchers. We ask that you please use your provisional booking reference or first initial and full surname as a reference to allow us to allocate payments correctly. Voucher payments do not reach our account instantly and can take up to 3-7 days to receive. Once full payment has been received, we will then send you your booking confirmation e-mail. If we have not received an e-mail or payment within 7 days of your provisional booking, we may cancel your booking, however we would not do this without informing you first.   7. Late Collection - If your child is booked until 3:30 pm but you collect after this time, you will need to pay the additional £8 late stay charge. If your child is already booked in for the extended day our late club is only registered until 5.30pm and after that time we are legally obligated to inform Children's Services if a child is still on site and we have not been able to contact the parents/carers. In addition, we reserve the right to charge £5 for every five minutes that a child is with us after 5.30pm, which will be automatically added to your account.
  8. Exclusions - Club Excel reserves the right to exclude any child for any reason at its absolute discretion, including, persistent late collection. No refund will be made for days missed and no compensation will be made for any other cost or losses incurred as a result.
  9. Programme Changes - The organisers reserve the right to amend the programme where it is found to be necessary.
  10. Liability - Club Excel does not accept liability for personal injury or the death of any person unless directly caused by the proven negligence of the company or its employees, in this event our liability insurance provides cover of up to £5 million.
  11. Complaints - Club Excel is committed to ensuring every child has a great time on Camp. If you or your child are not happy with the service we provide then we'd like to hear about it. Please ask to speak to the Camp Director or call/email the customer services team at info@clubexcel.co.uk. We assure you that all comments will be dealt with swiftly.
  12. Policies and Procedures - Copies of Club Excel policies and procedures are held here, on site and in the Central Office and printed copies are available on request.
