1. Payment & Booking Confirmation

Your booking will be confirmed once payment has been received.
Please check the dates and location carefully at the time of booking. Responsibility lies with the person who made the initial booking.
If there are any discrepancies, contact us as soon as possible so we can make the necessary adjustments. If we are not notified in good time and changes cannot be made, cancellation charges will apply.

We can amend your booking (subject to availability) if the request is made in writing at least 24 hours before your child’s first day at camp.
Any price differences must be covered by you.
If you have booked a full week, individual days cannot be transferred to another week unless the appropriate daily rate is paid.
If no alternative dates are available, cancellation charges will apply.

All cancellations must be made in writing and are subject to the following:
- Up to 24 hours before start date: A full credit will be issued, valid for 12 months, for future Club Excel courses.
- Within 24 hours of start date: No credits or refunds will be issued.
We do not offer refunds under any circumstances.
Credits are non-transferable to Excel Sport or Excel Swim.
Missed days cannot be credited or refunded.
Cancellations made on the morning of your booking cannot be credited or refunded due to staffing commitments based on staff-to-child ratios.

Club Excel may take photos or video footage during camp for use on our website, brochures, or promotional materials.
If you do not wish your child to be included, you must notify us in writing before camp begins.
All media is stored securely in line with data protection regulations.

Voucher codes must be entered at checkout and are applied after any other discounts.
Only one voucher code can be used per booking.
Club Excel reserves the right to withdraw offers at any time.

As an Ofsted-registered provider, we accept Childcare Vouchers and Tax-Free Childcare payments.
Provisional bookings will be held for 7 working days to allow processing.
Please use your provisional booking reference or your child’s initial and surname when making payments.
Payments may take 3–7 days to reach us. Confirmation will be sent once full payment is received.
If payment is not received within 7 days, your booking may be cancelled (we will always attempt to contact you first).

Children booked until 3:30pm but collected later will be charged an £8 late stay fee.
Our extended day service runs until 5:30pm. After this time, we are legally required to inform Children’s Services if a child has not been collected and parents/carers cannot be contacted.
A fee of £5 per 5 minutes beyond 5:30pm will be automatically added to your account.

Club Excel reserves the right to exclude any child at its discretion (including for persistent late collection or behaviour concerns).
No refunds or compensation will be given for exclusions.

Club Excel reserves the right to amend activities or programmes where necessary.

Club Excel accepts no liability for personal injury or death unless directly caused by the proven negligence of the company or its employees.
Our liability insurance provides cover up to £5 million.

We want every child to have a positive experience at camp. If you are dissatisfied with any aspect of our service, please speak to the Camp Manager or contact our Customer Services Team at info@clubexcel.co.uk.
All concerns will be dealt with promptly and fairly.

Copies of Club Excel’s policies and procedures are available on-site, at our Head Office, or by request.
